Brunel Energy Nigeria - Administration Manager

Functional tasks
Contract Administration:
• Work in close co-operation with the Brunel Energy Support Office based in the Netherlands,
• Delegating and oversee the preparation of documents like work permits / employment pass, documents control checklist.,
• Review client contracts on commercial, insurance and liability (4-eye policy),
• Review Client contracts on compliance and liabilities,
• Monitor contractors end of assignment / extension movements,
• Monitor contractor employment contracts are in order and sign (4-eye policy),
• monitor all contractor hard copy files are up – to – date to meet company standards (ISO),
• Assist and liaise with the Logistics department to maintain a list of mobilization contractors,
• Act as point-of-contact between contractors and finance department to resolve issues on pay roll contractors and with between contractors and the Operations department on contractual issues,
• Attend to other relevant queries from clients and contractors,
• Monitor CV formatting candidates to company standard,
• Coordinate the marketing, planning office events, office supplies,

Commercial:

• Sign off on costing sheets provided margins are within Corporate guidelines (4-eye policy),
• Preparation Commercial Tender Bid (Signing by Country Manager),
• Prepare, check and sign proposals provided gross margin is within Corporate Guidelines (4-eye policy),
• Negotiate Client – Brunel Energy agreements both commercially as legally,
• Participate in project pre-qualifications and pre-qualification meetings,
• Tender preparation and review in coordination with the Commercial Manager,
• Assist the Country Manager in preparation of annual budget and quarterly budget re-forecasts,
• Monitor monthly submission of invoices and old AR recovery efforts,

Reporting:

• Check and confirm monthly BENL headcount and report to Brunel Energy Support Office,
• Prepare monthly MMR (Monthly Management Report),
• Update monthly Project Overview,

Leadership and Development:

• Act as link between the local Brunel Energy Nigeria Limited office and the Brunel Energy Support office based in the Netherlands,
• Show leadership to Brunel Energy Nigeria Limited and planning, coordinate and controlling their work on an enthusiastic and motivating way with the goal of keeping the quality of the output and the results as optimal as possible,
• Conducting bi-annual appraisal meetings in cooperation with the regional Manager HRM based in the Netherlands,
• Coaching and training of all employees and regular evaluations and career conversations
• Accompany new employees,
• Obtain advise from and coordinating work with the other Brunel Energy Managers,
• Support the Country Manager on day – to day business,

Process Management:

• Implement and monitor the Brunel Energy business processes and close consultation with the Brunel Energy Quality Assurance Manager,
• Aim for continuous improvement on business processes

Requirements

Knowledge & Experience.
Higher National Diploma (HND) or higher (Batchelor)
Professional knowledge of the contract employment industry, both commercial and administration
Experience in the Oil & Gas industry is preferred
Experience on quality processes and HRM related activities
Minimum 5-7 years work experience in a leading Contracts Administration, commercial role

About the organization

As Administration Manager you are part of a team who currently provides critical mid and back-office support to external contractors seconded to Oil & Gas clients throughout the world. You will act as the Link between the local Nigeria Operations office and the Brunel Energy Support office based in the Netherlands. Aim is to Monitor / Check and delegate all the involved work related to contractor operational and commercial administration and contracts administration within the requirements set by Brunel Energy Europe and the International / National law, rules and regulations.
